In Yale Connect, you can create a Scheduler, which enables users to view your availability and book appointments with you.
Once you've created a Scheduler, you can select a calendar of reference (e.g., Outlook, Google Calendar; your Yale Calendar) in order for participants to book an appointment at a time you are available (the Scheduler will only show available blocks; it will not make times available for which your calendar is blocked off).
In addition to connecting with your Yale calendar, you must also select your windows of availability. These windows of availability inform Yale Connect which days/times to refer to your Yale Calendar for your availability.
The below steps share how to create a Scheduler, connect your Yale calendar, and set your windows of availability.
Create a Scheduler
To create a Scheduler, from the Yale Connect Home page, select My Meetings in the left menu, and select Manage My Schedulers in the top right.
Select Create Scheduler in the top right.
In the Scheduler settings window that opens, enter a:
- Name for the Scheduler
- Meeting duration
- Meeitng Scheduler link (no spaces)
- Location (and Location Details)
You can also configure buffer time between meetings, the minimum notice needed before a user can book with you, and a start and end date for when the Scheduler will be active, among other settings.
Make sure to select Save when you have configured your Scheduler settings.
Connect Your Yale Calendar
From the Yale Connect Home page, select My Meetings in the left menu, and select Manage My Schedulers in the top right.
Select Connected Calendar Settings.
Select Connect your Office365 Calendar.
The above step will launch Microsoft in your browser. When it does, enter your Yale email address and select Next.
Enter your CAS password and select Sign in.
Microsoft will ask that you verify your signin using Duo. Select Approve with Duo Security.
Duo will display on your screen until you verify using your third-party device.
Once you have verified the Duo push, select Yes to stay signed in.
In Yale Connect, you will see a message that your Outlook calendar is connected. To double-check, you can select My Meetings from the left menu.
Select Manage My Schedulers.
Select Connected Calendar Settings.
In the Connected Calendar window, you will see a brief message confirming that your Schedulers are using your Office365 calendar for reference.
Set Windows of Availability in Your Scheduler
After you have connected your Yale Calendar to Yale Connect, you will want to select days and timeframes for which the Yale Connect Scheduler should refer to your calendar for your availability. For example, you might want participants to select from times you are available on Mondays and Tuesdays only. Or, maybe you want participants to be able to book at later times on Thursday nights. In all, the week days and timeframes for which you would like the Scheduler to refer to your availability can be customized. The below steps share how to set these windows.
From the Yale Connect Home page, select My Meetings in the left menu, and select Manage My Schedulers in the top right.
Under Availability in the Scheduler you would like to edit, you can (1) click a day/time range to edit the timeframe, (2) click 'X' to eliminate a day of availability, or (3) select Add Availability to add a new day and timeframe of availability.
When clicking to edit or add a day/timeframe, a window will open where you can adjust the start and end times. Save & Close when you have adjusted these settings.
