Setting up Auto-Approval on a Survey or Form

By default, all surveys and forms will have a status associated with submissions, such as Draft, Pending Approval, Approved, Rejected, or On-Hold. Until a submission is approved, rejected, or marked on hold, it will remain in a pending status.

If you want to auto-approve the submission of a survey or form (without a Group Officer or assigned user manually approving the submission), as a workaround, you can create a workflow process with a single step using the notification-only feature. Here’s how you can do this:

  1. Create a One-Step Workflow: Set up a workflow connected to your survey or form with just one step that triggers a notification.
  2. Set Activate by default to Yes.
  3. Handling Notifications: Assign a dedicated user account to receive these notifications via the Team assignment to the step. For the user assigned to receive the notification, use their email platform to filter these notifications into a specific folder.
  4. Modify Notification Settings: To prevent the submitter from being notified about the approval of the form, make sure to set the option When the step is approved, send a notification to the participants of the step that has been approved to No.

Once the survey or form is submitted, it will trigger this notification step in the workflow, and it will automatically be marked as Approved without any further action required.
